From a social viewpoint, mass e-mails are a great way of communicating to a large group of individuals within your network. The replies are usually instantaneous and generally, mass e-mails allow your daily routines to run smoother. From a legal standpoint, however, mass e-mails can sometimes create employment liability issues. Therefore, it becomes critical to understand a few key points about utilizing your mass e-mail capabilities.

When you send e-mails out to a number of people, you have essentially created a community and the members of this community have access to the other individual's e-mail addresses and are easily able to reply to the entire group.

It is important to make sure that you are sending your messages to the intended recipients as not only can it create confusion but sometimes information ends up in the wrong hands. In addition, with written word, it is hard to convey emotion and despite the ability to use CAPS to express excitement or displeasure, some messages are better relayed in person.

Beyond a situation wherein a message ends up in the wrong inbox, e-mail has created a definitive, easily accessed paper trial. It has become a useful tool for employees who have been the victims of workplace discrimination.

The best thing to do, however, if you receive an e-mail by mistake, is to ignore it. Typically, the sender will realize the mistake and correct the group settings to exclude you. If it continues to happen, a polite response indicating the mistake and requesting to be removed from the list is suffice.

Finally, prior to immediately responding to an intended e-mail sent to an entire group, give your response some thought and understand that "reply all" means "reply all."
